Job Summary
The Service Coordinator performs customer service, service fulfillment coordination and administrative functions that support the efficient operation of a service office.
Pay Range
$28.61 – $37.17 per hour
Essential Duties and Responsibilities
1. Work with Technician Supervisor and/or Operations, Service Center or District Manager in scheduling and dispatching of Technicians for jobs (Start ups/repairs, warranty, maintenance).
2. Handles customer inquiries and routes questions of technical nature to the appropriate resource.
3. Tracking of time and attendance for Technicians.
4. Coordinates job start ups and maintain communication with customer regarding scheduling for the start up and follow-up on jobs in progress/completed.
5. Invoices and bills customers.
6. Performs local office AP/AR functions. Follows up with customer to ensure that payment has been received.
7. Coordinates warranty administration process. Orders Parts and tracks shipments.
8. Answers telephones and greets customers.
9. Maintains professional and courteous customer contact. Assist new hires in the completion of their new hire paperwork, completes employer required sections of forms (I-9) and ensures that it is sent to Human Resources on the new employee’s first day of employment.
10. Maintain OSHA logs.
11. Enters all information and maintains information into Enterprise Resource System. This includes work orders, new customer information, and technician hours for billing purposes.
12. Ensures timely close-out on all work orders and that all associated paperwork (P.O., etc.) is received and filed with the proper job.
13. Responsible for gathering local prevailing wage rate and completing sending hours worked by Technicians on those PW jobs to Human Resources.
14. Maintains filing for office. Maintain office equipment (copier, telephone, fax, etc.)
15. Organizes and coordinates inventory processes.
16. Provide initial notification of Workers Compensation claims to insurance carrier.
Qualifications
Minimum Education Requirements Education Level Description 2 Year / Associate Degree  
Preferred Education Requirements Education Level Description 4 Year / Bachelor’s Degree  
Minimum Experience Number of Years Comments 5 Related experience in MEP service field
Preferred Experience Number of Years Comments   Experience with Astea or any other service tracking software
Required Knowledge, Skills, and Abilities Experience with Astea or any other service tracking software
Work Environment
The noise level in the work environment is usually moderate.
Physical Demands
The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision. While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand; walk; use hands to touch, handle, or feel and reach with hands and arms.
