Data Center Project Operations Coordinator
The Data Center Project and Service Operations Coordinator is responsible for coordinating and supporting the execution of data center HVAC projects, commissioning activities and ongoing maintenance operations. This role ensures alignment between project schedules, service contracts, and day-to-day service operations while facilitating effective communication between internal teams, field technicians, clients and suppliers.
The coordinator plays a critical role in optimizing resource allocation, tracking project and service performance and maintaining high standards of execution, safety and customer service within mission-critical environments.
Project & Service Operations Coordination
- Coordinate and support the full lifecycle of data center HVAC projects and service operations, including commissioning, maintenance and warranty activities.
- Develop, maintain and update project and service schedules to ensure timely execution across multiple sites.
- Coordinate field activities with service technicians, vendors and suppliers to meet project and service requirements.
- Support transition from project completion to ongoing service operations, ensuring continuity and alignment with maintenance contracts.
- Monitor progress, identify risks and proactively address delays or operational challenges.
Client & Team Communication
- Serve as a key point of contact between clients, field teams and internal stakeholders for project and service operations activities.
- Schedule and coordinate site visits, commissioning activities and service work in alignment with customer requirements and site protocols.
- Ensure technicians are informed, properly equipped and aligned with scope, safety and site expectations.
- Address client inquiries, issues and escalations in a timely and professional manner, maintaining strong customer relationships.
Documentation, Reporting & Financial Tracking
- Maintain accurate and organized records, including service reports, commissioning documentation, safety compliance and project logs.
- Track project budgets, service costs and change orders, ensuring alignment with contract terms and visibility into cost impacts.
- Maintain and track change order logs, including initiation, approvals and execution status.
- Support invoicing processes and ensure proper documentation is submitted for billing and contract compliance.
- Prepare and deliver regular reports on project status, service performance, financial tracking and customer satisfaction.
Field Operations, Parts & Warranty Coordination
- Assist in coordinating field operations, including technician scheduling, site activities and resource allocation.
- Coordinate procurement and tracking of parts (warranty and non-warranty) to support project and service operations.
- Support warranty processes, including submission of warranty service orders, documentation and tracking of claim status.
- Ensure required materials, equipment and parts are available on-site to avoid delays in execution.
- Maintain accurate records of parts usage, warranty claims and supporting documentation (photos, reports, checklists).
- Collaborate with internal teams and vendors to expedite critical parts and support timely issue resolution.
Turnover & Service Coordination
- Support project closeout and turnover activities, ensuring all required documentation, reports and deliverables are completed and submitted.
- Coordinate transition from project completion to ongoing service operations, ensuring alignment with maintenance contracts and customer requirements.
- Ensure all project documentation, including commissioning reports and closeout packages, are properly organized and transferred for operational handoff.
- Coordinate with internal teams and clients to confirm readiness for service operations following project completion.
- Maintain accurate records of turnover documentation and service initiation activities.
- Support continuity between project teams and service operations to ensure a seamless transition and ongoing customer satisfaction.
Safety & Compliance
- Ensure all project and service operations activities comply with site-specific safety protocols and industry standards.
- Support enforcement of safety procedures and ensure technicians are prepared for safe execution in data center environments.
- Maintain awareness of regulatory requirements and best practices related to HVAC systems, commissioning, and service operations.
Continuous Improvement & Process Development
- Identify and implement process improvements to enhance efficiency, reduce costs and improve service delivery.
- Support development and standardization of workflows, SOP’s and reporting tools across projects and service operations.
- Contribute to building scalable processes that support long-term growth of data center service operations.
Competency and Experience |
- Experience in project coordination or project management, preferably within HVAC, or related technical service industries.
- Familiarity with HVAC service operations and maintenance practices is preferred.
- Strong organizational skills with the ability to effectively manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills, with the ability to build and maintain strong working relationships.
- Proficient in project management tools and Microsoft Office.
- Demonstrated ability to coordinate and prioritize multiple projects and service operations activities simultaneously.
- Strong problem-solving capabilities with a proactive, solutions-oriented mindset.
- Working knowledge of safety standards, compliance requirements and best practices related to HVAC equipment.
- Experience supporting data center projects, commissioning activities, or mission-critical environments.
- Familiarity with service operations workflows, including maintenance contracts, warranty processes and field service coordination.
- Knowledge of project tracking and documentation tools (e.g., Procore or similar platforms).
- Understanding of change order management, budgeting and invoicing processes.
- Awareness of site-specific safety protocols such as LOTO, access requirements and PPE standards.
- Experience working with cross-functional teams in construction, HVAC, or technical service environments.
- Ability to work in a fast-paced and dynamic environment.
Education and Certification |
- High School Graduate
- Experience in an HVAC related industry is a plus
- Familiarity with construction industry processes is a plus
- A valid driver’s license and ability to travel to various job sites as needed.
- Certification in project management (e.g., PMP) or HVAC systems is a plus but not required.
Work Environment |
Office-based with occasional visits to client sites or project locations.

The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision. While performing the duties of this job, the employee is regularly required to walk and talk or hear. The employee is frequently required to stand, sit, use hands to finger, handle, or feel and reach with hands and arms.
Position Type and Expected Hours of Work |
This is a full-time position, Monday-through Friday, with flexibility based on project needs.
Occasionally early morning, evening or weekend work may be required to support project schedules, commissioning activities, or critical site operations.
