Energy Project Coordinator - Tucson

Purpose of the Position

 

As part of the Varitec Controls and Service Solutions LLC team, expectations are that you will be a team player that puts the companies’ internal and external customers first. This position will be assisting the Operations Team with back-office support on projects and other company-related business.

 

Essential Functions

 

·         Perform administrative duties including document filing, correspondence, data entry, material ordering and tracking, inventory accounts.

·         Assist the project team members with tracking project schedules, budgets, and deliverables.

·         Coordinate with accounting setting up projects; new customer credit app, prelim’s, validate billing contacts.

·         Project safety is important to VCSS, help enforce safety in and around all areas of the work environment.

·         Prepare and help maintain project documentation such as proposals, project files and folders, submittals, as-built documents, contracts, drawings, reports, change orders and daily reports.

·         Assist in coordinating and scheduling meetings, site visits, scheduling of manpower and site determination.

·         Communicate with suppliers, contractors, and consultants to ensure timely delivery of materials and services.

·         Maintain construction field service reports and assist the Project Managers with monitoring project status, updates of projects and construction records.

·         Support procurement and inventory management of controls materials, control devices, tools and equipment.

·         Act as a liaison between contractors, architects, suppliers, engineers, and internal team members.

·         Demonstrate initiative to work independently with the ability to meet deadlines within a stressful environment.

·         Track project progress against schedules, timelines and budgets.

·         Identify and escalate potential delays and or risks to ensure a prompt resolution.

·         Demonstrate the ability to multitask and work in a fast-paced construction environment.

·         Participate in project huddle meetings and project turnover meetings effectively communicate expectations to teammates on safety, scheduling, cost allocation and overall performance expectations.

·         Participate in accurate and complete turnover to service meetings upon construction project completion including warranty dollars and clearly outline client expectations.

·         Ability to reassign work as needed to manage our customer’s expectations and making judgements based on current workload and priorities.

·         Possess a minimal knowledge of construction fundamentals, knowing how to differentiate which situation correlates with which trade.

·         Represent the company in the most professional manner by serving as the direct customer contact and ensuring customer satisfaction.

·         Work with the leadership team to help manage and develop the company’s growth and success. Help discover, create tools and processes to streamline productivity and workflow.

 

Competency and Experience

 

·         Minimum of one (1) year experience in the construction industry.

·         Ability to use Windows applications primarily Word, Excel, Teams, and Outlook.

·         Ability to use Procore or similar project management tools.

·         Ability to apply basic mathematical concepts, such as fractions, percentages, ratios and proportions to practical situations.

·         Ability to define problems, gather data, establish facts and draw valid conclusions.

·         Ability to make judgments after analysis of available information and respond with a timely decision.

·         Ability to plan work and sequence priorities.

·         Ability to speak articulately one-on-one or to small groups.

·         Ability to compose articulate and grammatically correct written communication.

·         Ability to perform under difficult conditions, such as simultaneous deadlines.

·         Ability to handle conflict.

 

Supervisory Responsibilities

 

·         This position does not have any direct supervisor responsibilities of other employees.

 

Education and Certification

 

·         High School diploma required.

 

Work Environment

 

·         This position requires the ability to work in an office environment with others in close proximity.

 

Physical Demands

 

·         Be able to sit at a desk and work on a computer for extended periods of time.
